2. Service Description

ProjectBuddy is an AI-assisted project management service that helps with project planning, monitoring, and reporting. Users can choose to utilize ProjectBuddy's AI features for goal setting, project phasing and partitioning, risk management, resource management, and cost management. Additionally, users can generate regular status reports with ProjectBuddy that leverage AI-generated automated analyses. Users have the option not to use AI features and to modify AI-generated content as needed. ProjectBuddy may utilize automatic content analysis and modeling, but decisions are not made automatically on behalf of the user.

3. Data Subjects

The ProjectBuddy service database stores information about registered users, project data entered by users, and suggestions, analyses, and content generated by users using AI features.

4. Purpose of Personal Data Processing

Personal data is collected and processed through the service for the following purposes:

• Providing and maintaining the service, legal basis is contract when user registers to the service (GDPR Article 6 § 1 b).
• Supporting user experience and service development, legal basis is the controller's legitimate interest (GDPR Article 6 § 1 f).
• Billing and customer relationship management, legal basis is legal obligation (GDPR Art. 6 § 1 c).
• Information security and prevention of abuse, legal basis is legitimate interest (GDPR Art. 6 § 1 f)

5. Personal Data Stored in the Register

ProjectBuddy stores the following data:

• User information: name, email address, and payment information
• User-entered project data (goals, tasks, costs, resources, risks, and communications)
• Technical data: IP address, usage logs, browser information, and timestamps
• Cookies and analytics

6. Rights of Data Subjects

Data subjects have the following rights. Requests to exercise these rights should be sent to info@projectbuddy.ai.

Right of Access

Data subjects can verify the personal data we have stored.

Right to Rectification

Data subjects can request correction of inaccurate or incomplete data concerning them.

Right to Object

Data subjects can object to the processing of personal data if they believe personal data has been processed unlawfully.

Direct Marketing Prohibition

Data subjects have the right to prohibit the use of their data for direct marketing.

Right to Erasure

Data subjects have the right to request deletion of their data if data processing is no longer necessary. We will process the deletion request and either delete the data or inform you of justified reasons why the data cannot be deleted.

Right to Lodge a Complaint

Data subjects have the right to file a complaint with the Data Protection Ombudsman if they believe we violate applicable data protection legislation when processing personal data.

7. Regular Data Sources

User data is regularly obtained from the customer themselves when registering for the ProjectBuddy service. Additionally, technical data may be collected automatically using cookies and similar technologies.

8. Regular Data Disclosures

Personal data is not disclosed for marketing purposes outside of PMO Consulting Oy. We use technical service providers such as cloud service operators and AI interfaces for content generation. These parties have their own privacy policies.

9. Processing Duration

Personal data is generally processed as long as the customer relationship is active. After that, data is deleted during regular data deletion processes.

10. Personal Data Processors

The data controller and its employees process personal data. We may also partially outsource personal data processing to third parties, in which case we ensure through contractual arrangements that personal data is processed in accordance with applicable data protection legislation and otherwise appropriately. 11. Data Transfer Outside the EU

Personal data is not transferred outside the EU or European Economic Area. The service's AI features may utilize technical platforms located outside the EU. In these cases, the transfer is based on standard contractual clauses approved by the EU Commission and additional protective measures implemented (GDPR Art. 46).

12. Automated Decision-Making and Profiling

We do not use data for automated decision-making or profiling. AI features support user decision-making but do not make independent decisions that would affect users legally or otherwise significantly.
